Position Purpose
Position Purpose
Provides professional support to the division by performing complex
and diverse duties related to administrative functions. Assists
Chief Technology Officer in overseeing, organizing, planning,
implementing, and monitoring the operation of all components,
goals, and functions for the Division of Technology. Performs
administrative duties so that the office operates efficiently and
runs smoothly; assures discreet handling of all business. Conducts,
organizes, and coordinates the office's administrative duties and
events, including the office's workflow and staff utilization.
Serves as a point of contact in the absence of Division of
Technology leadership.
ESSENTIAL JOB FUNCTIONS
Operational Efficiency
- Coordinates work with office staff, coordinates and maintains
effective office procedures, efficient workflow, and provides work
direction.
- Provides advice and guidance to staff with respect to
administrative procedures, processes, and practices; serves as
liaison with other central office departments as necessary.
- Prepares presentations and reports using PowerPoint, Excel, and
other software as appropriate for meetings and presentations to the
Board.
- Provides information to District personnel, community groups,
educational agencies, and the public concerning District policies
and procedures.
- Initiates and prepares correspondence and reports; reviews and
monitors reports submitted by departmental personnel for action,
correlates and edits materials submitted by others as needed.
- Provides research assistance for employee grievances, open
records requests, or other personnel matters.
- Maintains physical and computerized departmental files.
- Performs actions authorized during the absence of the Chief and
uses initiative and judgment to see that matters requiring
attention are referred to delegated authority.
Strategic Planning & Change Management
- Assists the Chief and Division of Technology leadership team
with departmental programs and projects.
- Plans, coordinates, collaborates, develops, and designs special
projects including preparing drafts and finalizing documents,
maintaining files and data bases, meeting with committee members,
preparing agenda items for submission to the Board for approval,
arranging printing and conversion for distribution and posting on
the Districts website.
- Develops short- and long-range plans of projects to be
addressed including anticipated deliverables and timelines.
- Receives project documents and compiles a detailed summary that
may include a project plan, target date, assigned responsibilities,
and takes appropriates steps to ensure the project stays on task
through implementation and/or delivery.
- Reviews project proposals with leadership to determine proper
lead time, funding and procurement needs/limitations, procedures
for accomplishing project, staffing or resource needs, and planning
for communications and project launch.
- Facilitates teams or works independently in identifying project
opportunities, resources, and/or threats to timelines and
objectives.
- Assesses the sensitivity and public visibility of projects, and
considers other factors which may influence the project plan,
communication plan, and project implementation.
- Recommends steering committee members for projects as needed,
and identifies which projects are ideal for working with a steering
committee, and/or would benefit from leadership support.
- Monitors progress of project tasks and timelines, keeps project
teams apprised of meetings, agendas, and tracks decisions required
and decisions made.
Progress Monitoring & Compliance
- Supports the development of effective and efficient key
performance indicators and data collection processes that provide a
record of baseline measures and tracks longitudinal trends.
- Assists Chief and Division of Technology leadership team with
the successful collection and submission of data.
- Monitors progress toward program goals and gathers other
significant data relevant to the success of initiatives or programs
for Division of Technology when applicable.
- Meets regularly with staff to analyze and interpret data and to
coordinate department activities.
- Communicates with supervisor on a regular basis concerning key
issues and current projects related to schools and the
department.
- Monitors federal and state compliance requirements and
regulations pertaining to technology.
Professional Learning Community
- Attends planning meetings and works with assigned committees to
identify and serve the needs of the District.
- Provides regular updates of program activities and services to
appropriate audiences.
- Collaborates with District departments to coordinate and
implement programs that support the special needs of all student
populations.
- Continues to acquire professional knowledge and learn of
current developments in the educational field by attending
seminars, workshops or professional meetings, or by conducting
research.
Safety
- Performs preventive maintenance on tools and equipment and
ensures equipment is in safe operating condition.
- Follows established safety procedures and techniques to perform
job duties including lifting and climbing; operates tools and
equipment according to established safety procedures.
- Corrects unsafe conditions in work area and promptly reports
any conditions that are not immediately correctable to
supervisor.

management.

- Knowledge of Correct English usage, grammar, spelling,
punctuation, and vocabulary.
- Knowledge of school operations.
- Skill at the intermediate level, working with Microsoft Office
365, especially Outlook, PowerPoint, and Word.
- Skill in providing exceptional service to both internal and
external customers.
- Skill in written and oral communication skills including
ability to interact with and influence all levels of central office
and campus staff as well as parents.
- Skill in researching and writing, with a strong knowledge of
business correspondence formatting, including language, grammar,
and punctuation.
- Ability to handle difficult and stressful situations with
professional composure.
- Ability to exercise discretion regarding matters of a sensitive
or confidential nature.
- Ability to organize and coordinate work, including maintaining
attention to details and quality, and prioritize work while meeting
multiple deadlines.
- Ability to prepare oral or written communications, such as
presentations, reports, memoranda, letters, grant proposals,
curriculum documents, etc.
- Ability to organize multiple tasks and conflicting time
constraints.
- Ability to engage in self-evaluation with regard to performance
and professional growth.
- Ability to establish and maintain cooperative working
relationships with students, staff, parents, community and others
contacted in the course of work.
Travel Requirements
- Travels to school district buildings and professional meetings
as required.
Physical & Mental Demands, Work Hazards
- Tools/Equipment Used: Standard office equipment, including
computer and peripherals.
- Posture: Prolonged sitting and standing; occasional stooping,
squatting, kneeling, bending, pushing/pulling, and twisting.
- Motion: Frequent repetitive hand motions, including keyboarding
and use of mouse; occasional reaching.
- Lifting: Occasional light lifting and carrying (less than 15
pounds).
- Environment: Works in an office setting; may require occasional
irregular and/or prolonged hours.
- Attendance: Regular and punctual attendance at the worksite is
required for this position.

Minimum Required Qualifications
- Education:
- Bachelor's degree from accredited college or university
required;
- Master's degree in a relevant field preferred.
- Certification/License: None.
- Experience: 5 years' professional experience in related
area.
